This is a very exciting opportunity but before you move forward, you will need to complete an internship agreement.

The Internship Agreement is a legal document which must be completed and signed before the start of the internship. It is your responsibility  to get the agreement completed in conjunction with the host organisation, then send it to the program coordinator to be signed by the University.
 

FAQs about internships

Can the host organisation have their own agreement for the internship?

If the host organisation has their own agreement which they would like the university to sign, this is possible, however it cannot replace the university provided agreement. The host organisation agreement must be submitted for signature at the same time as the UniCA agreement and must include identical details (e.g. internship dates, payment amount etc.).

Can I start my internship before my agreement is signed by all the parties involved?

You will not be allowed to start your internship without an agreement signed by the university, so please make sure you complete it as early as possible.

How should the internship agreement be completed, and how to get it signed by 3rd parties?

The internship agreement document should be completed by the student in conjunction with the host organisation.

You should complete your part first, then send it to the host organisation to complete their parts.

The document can be completed in English or French (both versions are on the form, only one version needs to be completed) and can be signed electronically.

Once the document has been completed as per the instructions below, please send it to the program coordinator (along with the supporting documents) who will get it signed by the university. Once the agreement has been signed by the university, a copy will be emailed to you which you should forward to the host organisation.

What sort of electronic signatures are acceptable?

Electronic signatures and stamps are accepted but they must be either an authenticated signature or a photo of a real signature.

You will also need to add your name and your surname next to your signature.
 

Which sections of the internship agreement have to be completed by the host organization?

Please note:
If the location of the internship is different than the host organisation address, the location address needs to be noted in Section 2 under 'Location of internship'. If working from home (fully or partially), your home address should be noted (if partially, note the dates or 'occasional work from home as needed'). If working in several locations, all addresses need to be noted (with exact dates, or 'working in one of the following locations as needed’).
The exact number of months/weeks, days and hours must be entered, estimates will not be accepted. The number of actual days/hours of attendance should only include days actually worked, and exclude weekends and public holidays. The total number of actual hours of attendance cannot exceed 924 hours per academic year.

IMPORTANT: If, during the internship, there are any changes to the dates or the location of the internship (for example if you are required to work from home due to Covid), or to the project itself (for example change of supervisor, project title or activities), please let the program coordinator know as soon as possible as an amendment to the agreement would need to be signed.
 
Which supporting documents should I provide?

In addition to the internship agreement, the following documents would also need to be submitted:

  • Your Civil Liability Insurance certificate, clearly noting it covers internships.
  • If your internship is outside of France, please make sure your insurance covers internships abroad.
  • For internships in France/EU - a copy of your valid Visa/Residency permit/EU passport.
